PTA & PTO Treasurer Spreadsheet (Excel & Google Sheets)

After every fun run or book fair, a PTO board wants one number from the treasurer: what the event actually made.

That number is net, not gross. Net raised is income minus direct costs, and direct costs are the ones you paid only because the event happened: shirts, prizes, rentals, printing. Record each cost against the event as it's paid. Then the answer comes in four parts: raised, costs, net, and net against the goal.

Here's how that reads in our example file for a fictional elementary-school PTO. The Fall Fun Run raised 6,245.50, cost 1,206.05 and netted 5,039.45 against a 6,000 goal, so it's flagged before anyone asks.

A treasurer who can answer in one sentence earns trust, and hands the next one a clean file.
