View on EtsyWhen the finance committee asks whether the Building Fund money is still there, a church treasurer needs more than a running total.
The answer comes from a three-step tie-out. First, reconcile the book balance to the bank statement, allowing for outstanding checks and deposits in transit. Second, add up every fund's balance: General, Building, Missions, Benevolence and the rest. That total must equal the reconciled book balance exactly. Third, look for any designated or restricted fund below zero, because that means its money has been used for something else and the committee should hear about it.
Done monthly, it turns a nervous question into a one-line answer: our funds agree with the bank.
Our Church Treasurer Spreadsheet for Excel and Google Sheets runs that tie-out from one register. Every gift is entered once with category, fund and giver. The Funds tab checks the total against the book balance, reconciliation shows BALANCED only at a zero difference, and the Giving Statement lists any family's gifts for a date range. In the fictional example, a 55,493.60 book balance splits across four funds and ties out.
It isn't church management software, and statements don't say whether a gift is tax-deductible.
