Define readiness precisely. A volunteer is ready for a role when that role's requirements are complete: orientation, the policies they must read, training, and any verification step your organisation sets. Readiness is per role, so the same person can be ready to sort donations and not yet ready to work with children. A staffing gap should count only active, ready people. A second definition matters at year end: a volunteer who finishes a commitment as agreed has completed, not churned, and should be counted separately from early exits.

Our Volunteer Management System for Excel and Google Sheets tracks readiness role by role, and every block has a reason, an owner and a next action. Scheduling checks each assignment for people who aren't ready, are double-booked or fall outside their availability. Public recognition stays blocked until consent is recorded. Each week, the TODAY sheet lists eight queues with owners and due dates.
