PTA / PTO School Year Operations Kit is an instant download. Sample data in the demo file is fictional and clearly marked.

Every PTA and PTO rebuilds itself each summer. The outgoing board knows which vendor was unreliable and which fundraiser never breaks even, and almost none of that survives the handover.

The institutional memory worth keeping is small and specific: what was decided, who owned it, what it cost and what happened. A decision register that links each decision to its owner, its action and any later decision that replaced it is worth more than a year of minutes, because it answers the question a new board actually asks — why do we do it this way?

The other recurring failure is counting people who have not confirmed. A volunteer who said maybe is not coverage, and an event marked ready without a contingency is an event that will need one.

The PTA / PTO School Year Operations Kit runs the whole board from a 32-sheet workbook, shipped as a SAMPLE edition filled in for a fictional PTO and a BLANK edition with the same formulas, plus a Google Sheets edition. A board command centre scores annual operations health across 10 weighted modules with hard flags that override a good-looking score, and lists priorities at risk, upcoming deadlines, overdue actions, events not ready, volunteer gaps, pending staff requests and handover readiness. Officers carry terms, backups and planned successors; initiatives cannot show approved without a goal, owner, benefit, timeline and budget decision; only confirmed volunteers count as coverage and overlapping confirmed shifts flag themselves; an event is Ready only with date and place, owner, approved communication, volunteer coverage, vendor and materials status and a contingency; and a closeout register handles event wrap-up and role transition. A terminology selector switches the wording between PTA, PTO, PTCO, parent group and school association, and Canva website and communications access PDFs come with it.

It is not bookkeeping: there is no transaction ledger, bank reconciliation, check, deposit or reimbursement register, only budget envelopes, approvals, summaries confirmed by your treasurer and the finance handoff. It is not a student information system and never asks for student names, grades, attendance, health or IEP details, it is not a password store, and it is not legal or tax advice. The Canva website takes no payments or applications. If you already use the PTA/PTO Treasurer Spreadsheet, the two are built to be used together.
