Association Membership Management System is an instant download. Sample data in the demo file is fictional and clearly marked.
Member names sit in one file, dues in another, renewal dates in an inbox, and committee terms in someone's memory. When a renewal slips or a chapter stops reporting, nobody sees it until the money or the member is gone.
Membership work rewards looking forward rather than back. Renewals handled at 90, 60 and 30 days out are conversations; renewals handled on the due date are recoveries. The signal that tells you which members need the call is engagement, and it is visible months before the renewal is.
The second discipline is refusing to let a lapsed member be counted as an active one. Lapse, win-back, reactivation and exit feedback belong on their own sheets, because a membership number that quietly includes people who left is the figure a board most often acts on.
The Association Membership Management System holds that lifecycle in 48 connected sheets, shipped as a SAMPLE edition filled with a fictional association of 320 members and a BLANK edition ready for your own data. A command centre counts applications waiting for review, overdue onboarding, renewals due in the next 30 days, dues follow-ups and communications due. Individual and organisational members stay apart, with a directory sized for up to 2,500 members and separate sheets for seats, contacts and status history; billing, invoices, payments, waivers, outstanding dues, aging and reconciliation feed one another; engagement scoring uses four weighted dimensions you can change; and chapters and committees track reports received and missing, seats, vacancies and expiring terms. Twenty-nine charts and a KPI dictionary covering 21 measures with their numerators and denominators sit behind the management report. With it come 23 editable Word documents, 36 Canva layouts in 11 kits and six PDF guides including a 50-page implementation manual.
It is not software as a service, a member portal, a payment gateway or an email sender: it processes no payments and sends no messages. It is not accounting or tax software, and it is not legal advice — the policies and forms are editable templates for your own advisor to review. Both workbooks were tested in Google Sheets on 23 October 2026, where 48 of 48 sheets opened with 0 error values and no differences from Excel; Excel for Mac, Excel for the web and phone and tablet apps were not tested.
